How to Request District Policy Documents
Separate public policy records from a child's protected education records.
Agency allegations, findings, district responses and court orders are labeled separately. Unknown means not established by the records reviewed.
Steps to follow
- Look first in the official board policy manual and administrative regulations.
- Identify the exact policy, procedure, guidance, training or form you need, and the relevant date range.
- Use the district's public-records contact for public institutional documents. State public-records statutes and exemptions differ; no national response deadline applies.
- Ask for the current version plus adoption/revision history, superseded versions and the public meeting record when needed.
- Use the separate FERPA route for your child's records. Do not include another student's sensitive information in a public request.
Deadlines, limits and exceptions
An internal guidance memo, board presentation, draft, adopted policy and administrative regulation are different instruments. A record appearing in a board packet does not prove adoption. KCKPS's records page expressly separates public and student-record requests.
Request wording to adapt
Use only information necessary for the school to identify and process the request. This sample is a starting point, not a legal filing.
Please provide the current [policy/guidance title], its policy number if any, adoption and revision history, and the public record identifying its approval. Electronic copies are preferred.
